Office Manager

Job Summary

  • Manage the office area, assist in ensuring a positive and comfortable working environment for employees and handling the employees' questions and requests
  • Assist the Head of Office in her tasks
  • Assess and order kitchen and office supplies
  • Organize and tidy meeting rooms, kitchens, and shared spaces
  • Provide general support to visitors, including the preparation of meeting rooms and booking tables
  • Manage relationships with service providers as their primary contact: manage document and information circulation, handle orders and complaints
  • Handle office facility maintenance
  • Identify opportunities for improvement
  • Organize small team buildings and assist in quarterly allstaff event organization
  • Occasionally move slightly heavy items (chairs, packages, drinks, etc.)
  • Assist in the yearly asset inventory
  • Handle monthly administrative tasks
  • Handle the post
  • Other ad-hoc tasks in the office

Key Requirements

  • Advanced English skills
  • Minimum 3 years of office management (or assistant) experience
  • Ability to work independently, prioritize and multi-task in a fast-paced team environment 
  • Knowledge of Office software such as: World, Excel, etc.
  • Good communication skills
  • Attention to detail
  • Self-driven, goal-oriented and proactive mentality
  • Flexibility and ability to work in a team
